Student Organizations

The web pages linked from this page are designed and maintained by constituted student organizations. Wellesley College provides student organizations with guidelines for web page development but does not actively monitor content. The views and opinions expressed in the following pages are strictly those of the page authors, and comments on the contents of those pages should be directed to them.

Guidelines for the Development of Student Organization Web Sites

Wellesley College is committed to protecting freedom of expression while safeguarding the privacy and security of its students. In this spirit, we provide recognized student organizations with the following guidelines for the development, maintenance, and use of student organization web pages, derived from multiple college policies and regulations, including but not limited to the Wellesley College Honor Code and Responsible Use of Information Technology Resources. The production, maintenance and use of organization web pages are subject to all federal, state and local laws.

The college web site is viewable by anyone with an Internet connection. While content may be published for a short time on a student organization web site, site content may be downloaded by anyone, anywhere, then stored and potentially republished elsewhere. For this reason, particular care should be taken to protect identities in order to help ensure members' safety. Any threats or harassment of organization members should be reported immediately to the Campus Police.

Personal Information
Providing personal information about individual members of an organization is strongly discouraged. Please do not list personal phone numbers and addresses, identify members in photographs, publish membership lists, or link to personal home pages. Limit contact information to the email address of a FirstClass conference that accepts Internet mail and the organization's on-campus mailing address. If you identify members in photos, or publish member lists, make the pages viewable on campus only. To make pages available for local viewing only, place them in a separate folder in the site, naming the folder LocalOnly, or if there are several folders, LocalOnlyMembers, LocalOnlyPhotos, or a similar name. IS staff uploading the folder will add an .htaccess document to the folder that limits viewing access to on-campus.

Photos, Stories, or Other Works of Art
The content of the completed web pages must be discussed and approved by all members of an organization prior to its placement on the web. In most cases, group photos at public or organizational events do not require releases. Artistic photos, individual photos, graphics, stories, and other works of art require a release from photographers, writers, artists, and subjects, including campus guests, outside speakers, etc. Releases will be archived and stored at the end of the school year.

A printed General Release Form for Publishing Standard Content with original signature should be mailed to Student Organization Uploads c/o Digital Technologies, Clapp Library, 3rd Floor, Wellesley College, 106 Central Street, Wellesley, MA 02481.

Copyright and Other Legal Considerations
Abide by all copyright laws and obtain permissions required to use any copyrighted materials including but not limited to photos, graphics, music, video, stories, etc. Properly cite sources. Refer to the Copyright web site for assistance. For questions about copyright, contact Graham Henderson, (781) 283-3514 (shenders@wellesley.edu).

In addition, other federal, state, and local laws may apply to some materials students wish to publish. If students or administrators are in doubt about the legal implications of some of the material they wish to publish, contact the Dean of Students Office, (781) 283-2322.

Commercial Links and Merchandise
Since the college is a non-profit organization and does not charge for web space, commercial club sponsors must not be mentioned by name or logo on web sites and links should not be made to their web sites. Advertisements, product endorsements, and links to commercial sites are prohibited. If a commercial sponsor supports a particular event, the sponsor’s name may be used in connection with the event, but should be removed when the event is past. Even in a one-time event, no link is allowed to the commercial sponsor's web site. Citing a business in a publication as part of a review or editorial may be acceptable if part of the publication's intent, but links to the commercial web site are not allowed. Affiliated, non-commercial, not-for-profit organizations and their web sites can be included and links may be made to those sites, e.g., CircleK or Amnesty International.

Merchandise can be offered on the web site as part of official club fund-raising. The club email should be used to arrange purchases and the web site may not be used to conduct financial transactions.

Wellesley Standard
Pages should be formatted according to the Wellesley Standard for college web sites. The name of the organization may be used in lieu of a contact person's name in the dog tag.
PHP and ASP are not supported on the web server.

Site Removal
Organizations are expected to update their Web pages and keep the information current. If pages are not being updated on a regular basis, the pages will be removed from the Web until updates are made. Pages may also be removed if they do not conform to the Guidelines for the Development of Student Organization Web Sites or other Wellesley College guidelines and policies.
