Navigating events on the Campus Calendar

The Campus Calendar (on-campus version) includes two main ways to navigate that can be selected from the banner at the top of the page: Events and Locations. Events is designed for those who want to see what is happening on campus or want to look up information about an event. Locations is designed primarily for those who want to search for an appropriate available location for an event and for those who need information on events in a particular building or location. The Locations area grid views display information for the hours of 8:00 AM - 11:00 PM only.

The calendar initially displays the current day's featured events.

To select an event category, if Events is not already highlighted on the banner at the top of the page, click Events. Click a category name in the list at the right. For an explanation of the types of events found in each category, read Details about Event Categories. Note that there is no category that includes all events.

To select a location category, click Locations in the banner, then click By Date in the line below. The calendar will initially display a grid view of events in all locations that fall under the category of Major Event Venues. Click a category name in the list at the right. Location categories offer an option of either a list or grid view under the calendar title in the white area. If you have selected a one day view you will see a small calendar icon calendar icon next to each location name in the resulting list or grid. Click the icon next to any location to see a weekly event schedule. Note that times shown in the list view for location categories include setup and takedown time. This is to assist event planners who are looking for available location for an event. To see event times only, click the event name to open the event detail. Times shown in the grid view are event times only.

To select events for one day, click Day above the small calendar in the bar at the right. Click a date on the calendar to display events for that day. To change the small calendar to a different month, click the back or forward arrow on either side of the current month name above the calendar. To return to the current day's events, click Go to Today under the small calendar. You can also move to the previous or next day by clicking the blue arrows on either side of the day title in the white area.

To select events for a week or month, click Week or Month above the small calendar in the bar at the right. Week and month calendars offer an option of either a list or grid view under the calendar title in the white area. Note that displaying events for an entire month may take some time to load. Please wait for the data to appear and avoid clicking the stop or back button on your browser window.

To view the weekly events schedule for a specific location, click Locations in the banner then click By Name in the line below. Then use the small monthly calendar in the bar at the right to select a week. To change the small calendar to a different month, click the back or forward arrow on either side of the current month name above the calendar. If you would like to compare the event schedule for two or more weeks at this location, click a button in the Number of Weeks area above the small calendar.

Quick Search for an event or location

At the top of the bar at the right of the screen is a Quick Search box. It will be either an Events Quick Search or a Location Quick Search, depending on whether you have selected Events or Locations in the banner. If you perform a location search you will be able to look at information about events in the found location. Another way to initiate a search is to click Search in the banner.

Search for an event by reference number: A reference number is a unique number in the form 2004-AABBCC, assigned to each event. If you have scheduled an event, the reference number will be printed on your confirmation.

  1. In the first box of the Event Quick Search, choose Reference.
  2. The second box will automatically change to Is, indicating that you need to enter the entire reference number in its correct form for the search to work.
  3. Enter the reference number in the third box and click Go to perform the search.

Search for an event by name: Event name searches are case-sensitive; you may need to try more than once before finding a match with the event you are seeking.

  1. In the first box of the Event Quick Search, choose Name.
  2. In the second box choose whether to search for the entire name or a part of the name. Choose Is only if you are certain of the exact name, as this choice indicates that you will enter the entire name exactly as it appears in the calendar, including spelling and upper/lower case. Choose Starts with, Contains or Ends with to search using part of an event name. Contains searches for the name segment in any part of the name so this choice is the most general.
  3. Either TAB to the third box or click there. If you click, be sure that your cursor has changed from an arrow to an I-beam, indicting that you are in the right spot. In the third box enter a string of letters that is part of the event name for which you are searching. These letters do not need to be an entire word; they can be a segment of a word, but they must be the same case (capital letter/lower case) as the event name you are looking for.
  4. Click Go to perform the search. The search result may include several events from which you can choose. Note that your search result may include events from the past. Click the event name in the search result for event detail.

If you don't see the search result you expect, try a different string of letters, different capitalization, or all capital letters. Some names may have more than one capital letter such as PERA or McAfee.

For example, if you are looking for a certain event but you don't know whether it is called Pathway, Pathways or Path Ways, first try searching for a name that contains the string Path. If you don't find it, try PATH. If you still don't find the event but know that it occurs in September and involves meetings, you can use a month view of the calendar and event categories to locate the event.

Search for a Location: Location searches are not case-sensitive and use the short form of building and location names. The abbreviation list can be found by clicking Locations and By Name on the banner and looking in the alphabetic list on the right, or by looking at the building abbreviation help page.

  1. Be sure that the first box of the Location Quick Search is set to Location Name.
  2. In the second box choose whether to search for the entire location name in its short form, such as SCI-277 or HMC-CHL, or part of the name such as SCI.
  3. In the third box, enter the location name, or partial name, then click Go to perform the search. If you entered a partial name, the search result may include several locations from which you can select. Click to view location details or a weekly event.

Viewing event and location details

To view event details, look through the list of events displayed in the white area. Here you will see the event name, time and location. The times shown do not include setup/breakdown times. To view additional details about an event including contact information, click the event name. A separate Event Detail window will open. To view earlier or future meetings of the same event, click the + button next to Meetings Before/After Today in the Event Detail window.

To view location details, click a location name in any list or grid of events. Information about the location will appear in a separate window. Not all information may be currently available for every location. Some location details include an image.


Viewing information related to events

To schedule an event, click Request in the banner.

To view scheduling and space policies, click Policies in the banner.

To view a map of the Wellesley College campus,click Campus Maps in the banner. Instructions are included for customizing this map for event preparation.
