Introduction
This document outlines many of the new features of Word X and how it differs from Word 2001. It is written for people who are familiar with Microsoft Word 2001 and are starting to use version X. Word 2001 is the standard word processing application for public clusters.
Word X is very similar to Word 2001, with only a few features added or changed. Word 98, Word 2001, and Word X programs use the same file formatting, meaning that Word 98 or Word 2001 can open, read, and edit Word X documents, and vice versa. Files created in Word X on a Mac should also be fully compatible with PCs running either Word 97 or 2002, provided the filename is relatively short, does not contain any punctuation characters, and the ".doc" extension is included at the end.
Word X runs on the Mac OS X platform.
More specific differences between Word 2001 and Word X are detailed below.
Getting Started
In the dock, click once on the Microsoft Word X icon.
If you cannot find Microsoft Word X in your dock, select Go > Applications from the Finder menu, and in the window that opens, double-click the Microsoft Office X folder. Click once on the Microsoft Word icon. Select File > Make Alias. A new Microsoft Word Alias icon will appear. Drag the Microsoft Word Alias icon from the folder to the Dock. You will now be able to find Microsoft Word in your Dock. Click the Word icon in the Dock to launch Microsoft Word.
The blue and gray Word X splash screen will appear briefly as it loads fonts and preferences.
Project Gallery
The Project Gallery was first introduced in Word 2001, but has been modified slightly in Word X. All of the settings from Word 2001 are present, enabling you to create new documents, open existing documents, or build documents from pre-existing designs.
The Project Gallery appears when Word X is opened. To access it after opening Word, go to File > Project Gallery.
A new feature added to the Word X Project Gallery is the category Based on Recent. This category allows you to open a new document based on a previously saved document. This feature will open a copy of the selected document, allowing you to modify and save it without altering the original. When you open a document from the Based on Recent category, it creates a new unsaved document, and then copies and pastes all text and formatting from the original document into the new document. Since Word X considers the document opened in this way to be a new document, you must remember to save it with a new filename.
Templates and Wizards
Word X has a collection of hundreds of document templates, allowing you to build your document off of a preset design model. In addition to the Word 2001 Letter, Envelope, and Label wizards, Word X includes new wizards for newsletters, brochures, catalogs, menus, and planners.
Selecting Multiple Text Blocks:
In Microsoft Word X, it is possible to highlight, or select, more than one block of text to edit at a time. In earlier versions, all selected text had to be adjacent.
To select multiple blocks of text, select one block, then hold down the Apple (or "command") key
while you select other blocks of text. If you have selected multiple blocks of text, all changes will effect every block selected.
NOTE: Though formatting commands (ie, changing font size, setting text bold, or adjusting tabs) will affect all highlighted text, editing commands, such as deleting and replacing text, will only effect the last block of highlighted text.
Clear Formatting:
A new option, Clear Formatting, has been added to the style box, located by default in the far left on the formatting toolbar. You can select this option by clicking the drop-down arrow to the right of the box and clicking once on Clear Formatting. This undoes all formatting to the selected text, returning it to the default style and formatting.
"Click and Type" Editing:
With the new Click and Type feature, you can insert text, graphics, tables, or other items in a blank area of a document. Click and Type automatically applies the formatting necessary to position the item where you double-clicked. For example, to create a title page, first hover the cursor in the middle of the page where you would like the title to be located. When you see the alignment I-beam cursor shown inside the red circle
appear with the center-align lines appearing to the right, double-click in the middle of a blank page. The cursor should appear at the spot you clicked on, allowing you to then type a centered title. A word can be selected by double-clicking it. A sentence can be selected by holding down the APPLE key while you click within the sentence. A paragraph can be selected by triple-clicking it.
Office Clipboard:
The Office Clipboard stores objects from all office programs, allowing you to paste them individually or all at once within any program in the Office Suite. The Office Clipboard can hold up to 60 items or 16 MB of data.
To access the Office Clipboard, go to View > Office Clipboard.
Encarta World English Dictionary
You can look up the definitions of words quickly and efficiently from within Word X. Hold down CONTROL and click on the word, then select Define from the menu that pops up. You can also look for synonyms by holding down CONTROL, clicking on the word, and selecting Synonyms from the menu.
The AutoCorrect function is now better able to notice and correct common spelling, grammar, and capitalization errors. It is now connected directly into the spell checker's main dictionary.
You can now also maintain separate lists of AutoCorrect entries for each language. Word will switch automatically between these lists based on the language formatting of your document.
The AutoCorrect Exceptions List allows you to turn off unwanted autocorrections. To work with AutoCorrect, go to Tools > AutoCorrect.
Microsoft Word Help still consists of the Office Assistant and the browser-based Microsoft Help catalog, but the catalog has been slightly changed in Word X. To access Word Help, click on the Microsoft Word Help button on the Standard Toolbar, or go to the Help menu and select Search Word Help. If the Office Assistant is turned on, it will open first and provide a box in which to type your question. If the Assistant is turned off, the Help catalog will open. To find help on a specific topic, type your question in the What would you like to do? box and click Search.
The Help catalog now lets you search for words that appear in help files, rather than just defined keywords, allowing for more in depth searches.
Also, you can now print your help file by clicking the Print button at the top of the Help window.
Microsoft Word X is compatible with AppleWorks 6.0 documents. AppleWorks documents can now be read and edited in Word X. We recommend saving documents in a Word format after editing them.
Microsoft Word X provides additional date and time options for different languages. When you insert the date and time via Insert > Date and Time, Word X provides a list of formats, including alternate calendar choices, appropriate to the language you are using.
The Euro symbol has been added to the Symbol command (Insert > Symbol)
Clip Gallery
Many new pictures have been added to the Clip Gallery, for a wider range of possible images you can insert into Word X documents. The Clip Gallery allows you to sort images into custom categories and assign keywords to pictures, enabling you to find them more easily. You can insert images into your Clip Gallery:
- In Word, go to Insert > Picture > Clip Art
- Click Import...
- Navigate to the image you wish to add and select it.
- Click Import...
- Click OK.
NOTE: You do not have to close out of the Clip Gallery anymore. It can run in the background, allowing you to insert multiple images more quickly and effectively.
