Page Setup for Printing and Presentation

In Excel 2003, Page Setup contains many options that you may find useful when printing an Excel document, such as scaling, margin adjustments, custom headers/footers, repeating column headings on multiple sheets, printing in black and white, etc. From the Excel menu, choose File and select Page Setup. The windows that appears contains the following four tabs:

1. Adjust to

If your document is a little too large to fit within your desired page size, Adjust to allows you to specify the scaling factor. To shrink your document, type in a number smaller than 100%, but greater than 10%. To stretch your document, type in a number larger than 100%, but no greater than 400%.

2. Fit to

Another way to scale a document is to select Fit to, which can automatically scale down the width so that it fits on one page. It is important to note that Excel scales both horizontally and vertically, so do not set tall to 1 if your document is a couple of pages long, since Excel will resize the document to fit on one page.

3. First page number

Delete Auto if you do not want a page number to appear on the first page of your document.


Margins

1. You can adjust the margins of your printouts to allow the maximum amount of data to fit on a page, to customize the amount of space available for headers and footers, or to accomodate special requirements. In the Top, Bottom, Left, and Right boxes, enter the desired size of the margin. If you have a Header or Footer, you can modify these margin sizes as well. The default settings are shown above.

2. You can also center the data in your printout, by checking either horizontally or vertically.


Header/Footer

Headers and Footers allow you to provide various types of information either at the top of the page (header) or at the bottom (footer). Excel will print headers 0.5 inches from the top edge and 0.5 inches from the botton edge. You can, however, change this by clicking on the Margins tab. The Header and Footer pull-down menus include common selections, such as page numbers, date, and the author's name. If none of these suit you, click on the Custom Header or Custom Footer buttons and you can create one yourself.


Sheet

By default, the labels for columns and rows are only visible on the first page of a printed document. In order to have these labels show up on all the pages, first click on the icon labeled 1a and then select the columns and rows you want repeated, either by using the mouse or by typing the range in:

2. Black and White vs Color Printing

If you are connected to a color printer, you can choose to print in black and white by selecting the Black and white box under the Print section.
