Guidelines | Selecting Materials | Ordering New Material | Submitting a Reserve List | Urgently Needed Material Audio Tapes, CDs, Videotapes, DVDs Hard Copy Reserve Guidelines
Only material that is required reading for the entire class should be placed on reserve. Optional readings can be easily obtained through NExpress or ILL if the Clapp copy is not available for your students. The Clapp Library and Knapp Center staff are happy to assist your students in placing these orders. All library owned material on reserve in the Clapp Library is available in an open, browsable collection on the first floor. This material is available for use in the library and may be checked out if needed for viewing or use outside the Library.
Videos required for class or for scheduled showings during or outside of class may be made available through the Video E-Reserves pilot if requests are received before June 13th. Requests received after June 13 will be processed in the order they are received. Digitizing is a time consuming process and while the staff will make every effort, we cannot guarantee that video requests received after June 13th will be available through video e-reserves. If the digitized version will not be ready, the hard copy will be placed on reserve.
It is important to submit list of all items to be placed on reserve for each course using the on-line form. A syllabus may be provided for reference but NOT in lieu of a course list.
Material is returned to the general collection at the end of each semester. To avoid confusion for our users, we only maintain lists for current courses. Please submit a new list each time you are offering a course. If you need assistance to identify material you have used in the past please make a note of this in the Special Instructions section of the Course Reserve List Submission form.
Lists are processed in the order they are received. Please allow adequate time for processing material. The time needed varies during the course of the semester and may take up to 10 days. In an emergency, material needed urgently can be processed within 24 hours if it is Library owned and brought to the Knapp Service Desk. Please follow the instructions for submitting urgent items.
Back to top Selecting Material for Hard Copy Reserves Library Owned Materials Before submitting any lists or material, please search the Library Catalog by title for your course reserve materials to learn more about the College's holdings. New materials and new versions of older materials are purchased throughout the year. Many titles are now available online through e-brary and other electronic journals. - If "online" or "Electronic Resource" appears in the journal or book title, your title is available electronically
- If "An electronic book accessible through the World Wide Web; click to view" appears in the box above the title, your title is available electronically.
- Library staff from the Research and Instruction Group are happy to help you interpret the catalog records. Stop by any reference desk, call x2097, fill out our AskUs form or email askus@wellesley.edu.
If the titles you need for your class are not available in our collection or on-line, please submit an order for this material. Personal Copies - Personal copies of books, videos, CDs or DVDs are discouraged and may be submitted for reserve ONLY if the Library does not own the material and cannot purchase it in time. Personal copies of videos or DVD are not eligible for the Video E-Reserves Pilot.
- Personal copies may be checked out for use in or outside the Library.
- Personal copies are far more complicated to process. Please allow sufficient time for them to be made available to your students.
Photocopies
All reprints, chapters from books, articles from journals, or other excerpts must meet the Wellesley College Copyright Guidelines and should be placed on e-reserve.
Wellesley's Copyright Policy dictates that
generally we can accept 1 article from a journal issue or 1 chapter from
a book. Multiple articles or chapters can be accepted only if the total
number
of pages on reserve does not exceed 10% of the journal issue or book.
Material that is not subject to copyright will be accepted. If you are not already using e-reserves, please contact a Knapp Staff member at x2369 for further information. Please speak with a Knapp staff member as soon as possible if you believe it is absolutely necessary to place a photocopy of an article or a book chapter on reserve. Back to top Ordering New Material - To avoid errors and to expedite processing, it is preferable for faculty to place their own orders for reserve material.
- Send orders using the on-line order form to the Acquisitions Department of the Library. NOTE THAT THE ITEM IS NEEDED FOR RESERVES.
- If you anticipate extensive use of a particular book, a copy for every 10-15 students registered for the course may be requested. Course Reserves staff are experienced in estimating the number of copies needed and can advise you.
- Please note on your list to the Knapp Center which books you have ordered.
Back to top Submitting a List for Hard Copy Reserves
To avoid delays in processing your course reserves materials, please read through the Hardcopy Reserve Guidelines before submitting your course reserve list.
- Lists may be submitted using the online Course Reserve List Submission form.
- List all items by Call Number, Author and Title and indicate the number of copies supplied or needed.
- Periodicals, Reference material and Government Documents do not leave the Clapp Library stacks but should be included on the list as they can be "reserved in place" for your course.
- Materials may be added throughout the semester using the web form.
- To avoid confusion for our users, we only maintain lists for current courses. Please submit a new list each time you are offering a course. If you need assistance identifying material you have used in the past, please make a note of this in the Special Instructions section of the online Course Reserve List Submission form.
Back to top Urgently Needed Material If you have experienced an unavoidable delay and a few items are needed urgently, please bring the Library owned items to the Knapp Desk, complete the Reserve Reading List form available there and be sure to note on it that this material is needed urgently. A staff member will process these items within 24 hours. Personal copies are far more complicated to process. Please speak to a Knapp staff member if you have any that need to be processed urgently. Back to top Audio Tapes, CDs, Videotapes, DVDs etc. Please notify the Knapp Staff (x2369) immediately if you are aware that a language course will be using new or revised audio material for a course. Permission to make copies must be obtained from the publisher by the academic department before requesting duplication of such material.
All videos that will be shown in class as well as those needed for course reserves should be included on a reserve list. Please include the date and time of the screening if at all possible. Requests received after June 13 will be processed in the order they are received. Digitizing is a time consuming process. While the staff will make every effort, we cannot guarantee that video requests received after June 13th will be available through video e-reserves. If the digitized version will not be ready, the hard copy will be placed on reserve.
Videotapes NOT r available for purchase, but needed for use in classroom instruction, may be available through Interlibrary Loan but they may not be digitized or placed on reserve.
