GoDIG Meeting Minutes - January 26, 2001



Minutes from the GoDIG meeting of January 26th at Boston College.

Present: Betty Febo, Wellesley; Ralph Szymczak, Brandeis; Sonia Ensins, Boston College; Ben Hood, Boston University; Robin Madden, Boston College; Kim Maxwell, MIT; Anne Myers, B. U. Law; Gail Fithian, Boston Public Library; Bette Siegel, State Library; Kathaleen Brearley, State Library; Len Adams, UMASS Amherst

  1. Resignation of Co-convener: Anne Myers is running (currently unopposed) for Chair of the National Innovative Users group…..congratulations to Anne! ! !

  2. Appointment of new co-convener: Roxanne Palmatier of Northeastern has agreed to assume this role.

  3. Boston Library Consortium Education Program:1st Tuesday….April 3, 2001. The agenda for this meeting was discussed in detail. It was agreed that Betty Febo of Wellesley, our webmaster for the GODIG page, would give an introduction to GODIG. Members are to look for extra copies of our bookmark…Bette S. will see if the BLC office has any. Christine Turner of MASS BEDROCK will give a demonstration. Len Adams will confirm if she is able to do this. Gail Fithian of Boston Public will give a demonstration of their State/Local database. If needed, Bette and Roxanne will prepare a handout, etc. of the 2000 census.

    PROGRAM:

  4. Census Handout…..Bette Siegel (State Library) and Roxanne Palmatier (Northeastern)

  5. State Plan Meeting: The meeting will be held on Friday, March 30th at UMASS MED in Worcester. Bette Siegel will mail out notices to all the Massachusetts depositories including directions and notification that a draft plan will be on the GODIG website and the BPL website. Attendees are to notice the BOLD items in the draft plan, especially, since these are the ones Gail would like to have addressed first. The meeting will be from 9:30 am to 12:30 pm. There was discussion of the fact that there is not a Massachusetts organization for the depositories. The closest group is GPLNE which includes the New England depositories. The State Plan MUST go to the Library Directors for approval. The group did not feel the absence of a Massachusetts group was a problem; but at the State Plan meeting others may disagree and this will have to be resolved. There was discussion about resource sharing, retrospective cataloging, and archiving electronic resources which should be discussed also. Gail discussed the whys of a State Plan including setting goals for the state depositories, access to documents, retention, offers list, collection development policy to be sent to the Regional, staff turnover, etc.

  6. After the meeting, the State Library depositories will meet to review any problems, etc. This meeting will include: Boston Public, UMASS Amherst, Springfield City and Worcester Public.

  7. There was discussion/dismay at the leaving of Sheila McGarr from GPO.

  8. BPL Flood Recovery was discussed by Gail…she expects it to be 9 – 10 years before it is complete. There are some gaps in the periodicals collections (health and NASA for instance). BPL will be buying READEX Depository Documents Fiche which sells for $850,000 ! ! ! ! from 1991-1998. They will pay for this with the insurance settlement. This does not cover the non-depository set. Donations to BPL are expensive to process and labor intensive. The Documents Department will be moving to the 2nd floor in the new wing.

  9. There was a round robin discussion from each library of current projects, etc. Anne Myers of B.U. Law suggested we look at the Documents Processing Manual on their web page.

  10. Next meeting will be at the State Library on May 11th so that everyone can see the "Mapping Exhibit" in the State House.
