MINUTES of the GODIG MEETING, FRIDAY, Oct. 31, 2003 AT UMASS WORCESTER

1. Linda Johnson let us know about the call for nominations for the Notable Government

There is also the Bernadine Abbot Hoduski Award, along with other awards. Nominations and applications are due by December 1, 2003. Nomination/application forms for all awards and the scholarship are available from the GODORT website http://sunsite.berkeley.edu/GODORT/awards/ or from the Awards Committee Chair, Susan Tulis. 2. Linda also asked us about how our email reference or "Ask a Librarian" worked in our departments or libraries; whether there is separate section/question for government documents. This discussion turned into an exchange about live chat, the Consortium’s 24/7, one-on-one tutorials or appointments or consultations.

FDLP Conference

Roxanne thanked Kathy Berry and GPLNE for inviting Judy Russell to the last GPLNE meeting. We heard pretty much the same thing at the conference, from her and Bruce James—huge changes are in store for us. Rebuilding GPO from the bottom up. Major changes and concerns were discussed. The Council had identified three main areas of discussion before the Conference: authentication, preservation and version control. Bruce James brought the need for new revenue sources to the table. He said the balance of money is an especial concern, with people before paying for documents from the bookstores and now getting them free on the Internet. Lots of ideas were discussed during the main session. Afterwards there were breakout sessions by type and size of library where the discussions continued. The concept of barnacles and carrots was brought up-things we don’t like about the FDLP and things that would make like it more. One example is the overhaul of the item number system and the depository discard system.

One idea that Judy Russell talked about when she was here and at the Conference was the idea of a "Consultant." This is something we need to discuss. The consultant program is supposed to enhance and change the current self-study and inspection program. This consultant would be a documents librarian and would work with and for a region of depository libraries, providing training, assistance, etc. and then would go back to work as a librarian again, perhaps. GPO’s feeling is that someone available on an as-needed basis is more valuable and less intimidating than someone who shows up to pass judgment every five or ten years. We as a region should submit a proposal with the guidance of our regionals. Kathy Berry wrote an email to Judy Russell asking what the other submitted proposals have suggested. GoDIG and GPLNE need to decide what we’d like the new consultants do for us. Kathy has expressed our interest to J. Russell. And she will send an email to all the regionals, letting them know we need to write a proposal.

Handouts from the sessions were shared and Roxanne will be making copies for people and sending them to us.

She redesigned the content based on our discussions last spring. We commented on what a great job she had done! There is still the question of "is the whole site designed for Federal documents or all types of documents?" She will check to see if we should link to other state plans.
