MINUTES OF THE GODIG MEETING HELD AT MIT ON FRIDAY, APRIL 26, 2002

  1. Review of the meeting of GPLNE at Roger Williams - Well attended; lovely setting.

  3. Ken Peterson led discussion of state documents electronic archives (see his attachment). Ken would like to start a Pilot Project to save to a server web sites that have electronic only State documents. Ken mentioned that Arizona, Connecticut harvest state docs. It was suggested that Julie Schwartz of the Connecticut State Library might be willing to come speak about the project. Barbara Mento that BC has a scanner, if needed. The State Docs Conference of the states west of the Mississippi was mentioned as a resource for information. The web site is www.sd.statelibrary.org/WestCoDocs. Ken informed the group that the management of BPL supports this project and contact can be made with Mary Frances O’Brien in the Director’s Office if more information is needed. Kim Maxwell of MIT mentioned a project that MIT has received grant money for on digital archiving. See attachment. Ken discussed that the ideal is agencies uploading the document automatically to the electronic server.
  4. Gail Fithian updated us on the status of the State Plan. She is waiting for a cover letter to send to the Directors from Gil Baldwin of GPO. She was informed that Robin of GPO was reviewing the Plan. Gail would like the group to review the plan, especially for typos, and let her know. Betty Febo volunteered to "proof" it. Once Gail receives Gil’s cover letter; the plan will be mailed to the Directors with a one month return date.
  5. ALL LIBRARIES ARE REMINDED THAT THEIR COLLECTION DEVELOPMENT PLAN IS DUE AT BPL.

    MI wants our plan on the Regional (GPO) web page.

  6. Ken Peterson reported on the GPO Council meeting held in Mobile, Alabama in April 2002. GPO Access is being revised; more color; more user friendly; quick links; all links at bottom of page. Ken reminded everyone that the conference notes will be on the Council’s web page. STAT-USA was presented. Robin has undertaken a promotional campaign for GPO. George Barnum is working on an OCLC project. Regionals want a national regional meeting (GPO will see if it can pay for one). There was a 9/11 presentation from NRC/Dtech/ and USGS. NRC is trying to get web interface. Council recommended that if the Regional Librarian was not able to attend an inspection, that a peer be designated to attend. There was a small attendance at the meeting.
  7. Discussion about a revolving secretary and co-conveners. It was decided to continue with the Co-conveners (Palmatier and Siegel) and rotate the secretarial duties.
  8. NEXT MEETING will be on Friday, November 1st at Williams College is agreeable to Rebecca. If not, the meeting will be at UMASS Worcester with Bobbie Brooke as the host. On the agenda will be report from the FDLP, GPLNE May meeting; Ken’s committee report, Cooperative Collection Development. As items arise, members are encouraged to contact either Roxanne or Bette.
  9. Gail reported that she had not received all the self-studies that were due. There were mixed messages as to when the inspections will be held. There was discussion of a "meet & greet" approach to the inspection. No one has factual information to date.
  10. BLC Map group has been formed; those wishing to join should contact Betsy at BPL.
  11. Wellesley is discarding its Federal Reporter and Federal Supplement collections. It was suggested they contact Social Law Library. BPL expressed interest in individual volumes if they "break it up". It was also suggested they contact Marnie Warner of the Trial Court Libraries.
  12. RI State Plan on GODIG website; suggested Dan O’Mahony of Brown be asked if he wants it there.
  13. Web page corrections are to be sent to Betty Febo of Wellesley, our webmaster.
  14. MIT intern, Sarah Fox, spoke of her Gov. Doc class with Natalie Shatz and her legal class with Virginia Wise.
  15. BC is looking for a Gov Doc intern.
