Study Abroad Billing Procedure
- Pay your program deposit to the study abroad program/institution that you will attend by their deadline. They should apply your deposit toward non-tuition charges, regardless of their published policy. Wellesley will pay the full cost of your tuition to your program/institution and will not subtract the amount of your deposit from our total payment.
- If you receive financial aid, you should apply as usual according to the normal financial aid schedule, there is no additional study abroad financial aid paperwork that you must complete. Once you have been accepted to a program and have submitted your Leave of Absence form the OIS will submit a Study Abroad Budget to the financial aid office, who will adjust your financial aid package accordingly. Your Study Abroad Budget will include the following costs:
- Wellesley tuition
- Room & Board for your program
- Airfare to your program destination
- Books
- Personal expenses (including local transportation costs)
Any financial aid that you receive will be applied to your Wellesley account. If you have a remaining credit balance on your Wellesley account after your tuition has been paid you can request a refund from SFS to use toward your study abroad expenses. The Refund Request form is available at: http://www.wellesley.edu/SFS/refundrequest.PDF Please note that refunds will not be issued until the funds appear on your student account.
- Pay your Wellesley bill. You will receive your Wellesley bill in July for the Fall semester and in December for the Spring semester. You will be billed for Wellesley tuition and health insurance if applicable for every semester you spend on a Study Abroad Leave of Absence.
- Wellesley will pay your tuition charges directly to your program/institution upon receiving an invoice. Please note that for programs that list a “program fee” as their only charge, the OIS will request a breakdown of the fee and will pay only the tuition portion, it will be your responsibility to pay the remaining portion of that fee. If you have been approved to study abroad by Wellesley and have received a bill including tuition you should inform your program that Wellesley’s Office of International Study should be billed for that portion of your fees and send a copy of the invoice to the attention of Mireille McLaughlin in the OIS.
****We will not pay your tuition until we have received your Approved Study Abroad Participation Agreement & Assumption of Risk and Release form signed by both you and a parent.
- Pay your off-campus program/university directly for any non-tuition charges (room and board, excursion fees, group flights, etc.). You will be billed some or all of the below charges directly by your study abroad program. All programs are different, you should check with your program for specific information. Some programs do not arrange for these goods and services and you may have to arrange them independently. Depending on your program you may receive a bill for some of these items or you may need to arrange them on your own and pay for them.
- Room & board
- Flights
- Books
- Visa and passport fees
- Local transportation
- Please note: If you are unable to pay your study abroad bill until you have received your financial aid and are worried that you will not make the deadline, it is your responsibility to contact your program directly to discuss their payment policies. In some cases they will provide you with a form for Wellesley’s financial aid office to complete detailing the amount of your financial aid and when it will be available. It is extremely important that you contact your program well before the payment deadline so that there is sufficient time to complete any necessary forms in order to avoid any late fees or other issues arising from late payment.
