Publicize Your Campus Event
Wellesley College hosts hundreds of events each year, from lectures and panel discussions to concerts, workshops and performances of all kinds.
If you think your event or information is particularly newsworthy and may warrant some feature treatment off campus, contact Arlie Corday, director of communications and media relations, at least one month in advance to discuss other types of promotion that may be appropriate.
Use the online college calendar as a marketing tool
The online calendar is not just a room scheduling tool; it's also a marketing tool that can catch the eye of prospective audience members. [https://calendar.wellesley.edu/wv3. Click on “Request” in upper left to initiate an event.]
The calendar is only as good as the information that event planners provide, so if you're planning an event, consider the marketing implications:
- Make your ‘event name’ count. "Public Affairs Lecture" is neither appealing nor informative. "What Do I Say When The New York Times Calls?" is much better.
- Provide additional information in the ‘event title’ field – for example, "Media training for faculty led by the Office for Public Affairs" or the speaker's name and title, "Speakers: ABC's Diane Sawyer and Linda Wertheimer from National Public Radio."
- Complete the ‘event description’ field. Include information about the speaker, film, etc. There's lots of space, so use it to your best advantage. You can also include a link to a Web site where calendar users can find more information.
If you provide compelling, catchy information in your event name, title and description, your event is more likely to be included in the "Featured Events" category of the calendar and may be included in the "Upcoming Featured Events" section of the college homepage.
Submit a calendar event or story idea to WellesleyWeek
The deadline for calendar submissions is Monday noon for the following week’s publication. To submit a calendar request, go to
http://www.wellesley.edu/PublicAffairs/WellesleyWeek/Forms/wellswkform.html
To submit a story idea to WellesleyWeek, however, please allow more time. Generally, this means one to two weeks before the submission deadline. To submit a potential story, use e-mail: WellesleyWeek Calendar on FirstClass or
wellesleyweekcalendar@wellesley.edu
Notify the calendar sections of local newspapers
Every local newspaper has a calendar of events, which you can use to broaden the potential audience for your event. Plan in advance. Be sure to submit your event at least 10 days before the paper’s publication date. Information on the deadlines of individual local papers is below.
Pertinent information for calendar listings includes: event name, speaker (if applicable), date, time, location (building and room number plus “Wellesley College”), cost (if any), sponsoring organization or department (list one only) and phone number.
Calendars often publish phone numbers that readers can call for more information. Be sure that the phone number or e-mail address listed is one that is answered regularly. Do not list your cell phone.
