CELL PHONE PROGRAMS

Cellular telephones are available to all employees for conducting college business. Approval must be granted by the appropriate Supervisor, Director or Vice-President of the department.

To assist you in this evaluation, please consider the following guidelines:

Guidelines to determine issuance of a cell phone for college business

  1. Cellular phones should be assigned to employees for whom the nature of their work requires wide mobility and simultaneous access to the telephone network.
  2. Employees who are mobile and whose job requires timely and business critical two-way communication for which there is no reasonable alternative technology.
  3. Employees who are mobile and who provide emergency support and back up.

Use of cellular phone service is not meant to replace regular college telephone service. Cell phones should only be used on campus when it is essential and the college phone is not available.

Guidelines for Cellular Phone Usage

Wellesley College provides cell phones to designated administrative staff members to be used for college-related business purposes. Service fees for these cell phones are charged to Wellesley College and the college is responsible for managing this service. Staff members assigned college-managed cell phones are expected to abide by the following usage guidelines:

  • Cell phone usage is restricted to college business.
  • Review your calling patterns to ensure that the current service plan meets your needs. Usage that exceeds the maximum monthly minutes allowed under the college's "shared minute plan" is priced at a premium. Contact IS/Telecommunications if your calling pattern is consistently in excess of 500 minutes per month so that alternate plans may be considered.
  • Monitor your charges and usage. Review your cell phone bills on a monthly basis.
  • Be apprised of state and municipal laws regarding the use of cell phones while driving. A number of recently enacted laws regulate the use of cell phones while driving. Use of cell phones while driving constitutes a hazardous distraction, especially during adverse weather, heavy traffic and/or limited visibility conditions.
  • Protect your phone from loss, theft or damage. If your phone is lost, stolen or damaged, contact IS/Telecommunications as quickly as possible to obtain a replacement.
  • Return the cell phone to IS/Telecommunications if you leave the college so that the service may be terminated to another employee.

Contact IS/Telecommunications if you have questions regarding the assignment and use of college-managed cell phones.

Cellular phones available for short-term loan

The Telecommunications Department have cellular phones available for loan to college employees who have a periodic need for short term or temporary use of mobile service while conducting college business. Availability is on a first come, first serve basis, and can be requested by sending email to Teddie Borey.

Ordering a new cell phone

Since cell phone reception and features can vary, the college has negotiated contracts with ATT/Cingular, Sprint/Nextel and Verizon Wireless. The plans provide nation wide coverage, and although the number of minutes provided should be more than adequate for college business, the minutes are not unlimited. Also, please be aware that all directory assistance calls are not included in the minute pool, and are charged at a premium rate.

Once it is determined that an employee needs a college provided cellular phone, contact the Telecommunications Department to review the purpose and requirements for the phone. We will assist in determining the best carrier for your needs. All equipment purchase will be the responsibility of the department and will require either a purchase order or pro-card.

A cellular phone will not be added to the Wellesley College central bill until an email is sent to either Teddie Borey or Sandy Roberts requesting that the phone be added to the contract. This email may come from the requestor of the phone, but the department person responsible for budget approval must be copied on the email.

PERSONAL USE

ATT/Cingular, Sprint/Nextel and Verizon Wireless offer programs for faculty and staff at Wellesley College. The program provides a single point of contact for activation, equipment,maintenance and billing. All cellular phone purchases and monthly charges are the responsibility of the Wellesley College employee.
