Student Hiring Managers

Student employees play a vital role in our community as contributing members to nearly every Wellesley College department and office. As a supervisor, the role you play impacts not only the work of your department but often the success and retention of the students you supervise. Your contribution to the lives of our students as a supervisor is important and appreciated. 

The transition to Workday for student employment hiring is exciting for the College from the perspective of inclusive excellence, alignment with data systems, and efficiency in application and hiring. All hires moving forward will take place in Workday.

Workshops for Supervisors 

We are thrilled to offer workshops for supervisors looking for more information on the nuts and bolts of using Workday for Student Employment. Upcoming workshops are posted below. All workshops will be held on Zoom. Attendees are required to register in advance on the Student Employment Workday Workshop Form.

Posting Positions 

  • March 15 from 11 a.m. - 12 p.m. 

  • This first workshop will review how to write a position description that meets requirements of Federal Student Aid on-campus positions. In addition, supervisors will learn how to start a new job requisition in Workday and copy a previous requisition. 

Reviewing Candidates and Making Offers 

  • April 13 from 11 a.m. - 12 p.m. 
  • April 14 from 3:15 p.m. - 4:15 p.m.
  • Supervisors will learn how to view candidates' resumes, cover letters, and work-study status. In addition supervisors will understand the process of creating the offer letter. 

Hiring Students 

  • April 26 from 11 a.m. - 12 p.m. 
  • April 28 from 3:15 p.m. - 4:15 p.m. 
  • This workshop will cover the entire hire process after the student has accepted the offer letter. Supervisors will also learn how to finalize the hire including how to assign costing allocations to individual positions. Onboarding steps for students will be reviewed briefly.

Important Dates

All campus hiring managers are strongly encouraged to post jobs, hire, interview, and select candidates during the below hiring periods. This streamlined approach supports inclusive excellence goals to ensure all students understand when to search for and apply to opportunities. In addition, we will be communicating these dates to student employees as ideal times to apply for positions. For the purpose of regulating hours, each semester will begin on the Sunday before the day the semester is scheduled to start. Please note Human Resources will be prioritizing academic support positions through the first couple weeks of the semester.

Training

Weeks listed as “Training” denote a period of time where new student employees can work up to 20 hours per week for training purposes. Training weeks are meant to assist supervisors in managing the beginning of the semester while providing time to train students. In addition, Human Resources will be especially equipped to assist students in completing onboarding paperwork, including verification of I-9 documents, during that period. Supervisors are strongly encouraged to allow their students to complete onboarding with Human Resources during scheduled work hours. 

 

Hiring For: Summer 2022
  • April 1st
    • Work-study students are able to view and apply for Summer positions in Workday, two weeks prior to non-work-study students. 
    • Supervisors are strongly encouraged to post positions by this date. 
  • April 15th
    • All students are able to view and apply for Summer positions in Workday. 
  • May 22nd
    • Summer compensation rates (if applicable) are effective. Students can begin working in Summer positions. 
  • August 21st
    • Academic Year/Fall compensation rates are effective. 
Hiring For: Fall 2022 & Compensation Review (Merit)

Returning Students 

  • April 1
    • Compensation Review process begins. Hiring Managers will need to decide who they would like to hire for the upcoming Academic Year. 
  • April 15
    • Work-study students are able to view and apply to positions on Workday, two weeks prior to non-work-study students. 
    • Supervisors are strongly encouraged to post positions by this date. 
  • May 1
    • All returning students are able to view and apply to open positions in Workday. 
    • The Compensation Review process closes. 
  • June 15
    • All returning students with new positions will have completed the hiring and onboarding process for their position by this date. 

First-Year Students 

  • Ongoing late July - mid September
    • Students work with their supervisors to complete the hire process in Workday. 
  • August 21
    • Summer pay (if applicable) is reversed to Fall pay. 
  • September 3
    • Last Day of Summer Semester hours.
  • September 4-10
    • Training Week for the Fall semester. 
 
Hiring For: Wintersession 2023
  • November 1
    • Positions for Wintersession are posted in Workday. All students are encouraged to apply. 
  • December 15
    • All students will be hired and onboarded for Wintersession employment by this date. 
  • December 27
    • Wintersession employment begins. 
  • January 14
    • Wintersession employment ends. 
Hiring For: Spring 2023
  • November 15
    • Positions for Spring are posted in Workday. All students are encouraged to apply. 
  • January 15-21
    • Spring semester employment begins. Training Week for the Spring semester.
  • January 30
    • All students will be hired and onboarded for Spring employment by this date.
