Doing Business with Wellesley College
Located in Wellesley, Massachusetts, Wellesley College is a private, liberal arts college committed to providing a rich, demanding, and transformative education to women. Suppliers interested in working with the College are strongly encouraged to send company literature to the Purchasing Department. All sales calls must be by appointment only. Unscheduled sales calls cannot be accommodated.
Office hours are 8:30AM to 4:30PM (Monday through Friday). Summer office hours are 8:00AM to 5:00PM (Monday through Thursday).
There are three preferred methods of doing business with Wellesley College. Suppliers can enter into a formal contractual relationship with the College, receive a Purchasing Order from the Purchasing Department or accept payment via the Wellesley College Purchasing Card. Verbal orders do not constitute a binding obligation. Please be advised: Suppliers who accept verbal orders do so at their own risk. The Terms & Conditions contained on the reverse of the Wellesley College Purchase Order form, found here, will govern all transactions. When a formal contract exists, it will take precedence over the Purchase Order. Suppliers are well advised to be familiar with Wellesley College's standard terms and conditions before entering into any business transactions.
Bid Award Criteria
Please be advised that Wellesley College awards contracts based upon a combination of the "total cost to the college" and the "total value received." Wellesley College does not simply request proposals and make awards to the lowest bidder. There are a number of factors that we consider including:
- Quality of Product or Service
- Product / Service Pricing
- Ability of the Bidder to Meet Deadlines
- Reliability of the Bidder
- Product Warranties / Service Guarantees
- Bidder's Expertise and Product Knowledge
- Financial Status of the Bidder
Standard Payment Terms
Payment terms for all vendors are net 30 days. Any exceptions must be approved in advance by the Controller. Wellesley College is a tax exempt institution.
Socially and Environmentally Responsible Business Program
Wellesley College is committed to socially and environmentally responsible purchasing by promoting business activity with minority/woman-owned companies, environmentally conscious companies, B Corporations, small to medium sized companies and local businesses and products whenever it makes sense to do so. This commitment enjoys broad support on campus.
Wellesley College has an institution wide commitment to sustainability as demonstrated by our Strategic Sustainability Plan, 2016-2026 which was approved by our Board of Trustees in April 2016. The plan has multiple priorities and goals, one of the primary goals is to foster reductions in purchasing and waste generation by encouraging reuse and setting specific goals for the purchase of environmentally preferable products in high volume categories (paper, toner, and computers) preference to purchase recycled content office paper.
Furthermore, we promote the purchase of products with the highest percentage of recycled content available, provided that the products meet acceptable use and performance standards. We encourage the purchase of products which are manufactured with more environmentally-friendly materials or which are produced with minimal impact to the environment.
We encourage the Wellesley Community to purchase materials that are:
- Durable, as opposed to single use or disposable
- Non-toxic or minimally toxic, preferably biodegradable (green cleaning products)
- Highly energy-efficient (ENERGY STAR or EPEAT registered products)
- Recyclable or safely disposable
- Made from raw materials obtained in an environmentally sound, sustainable manner
- Manufactured in an environmentally sound manner
- The cause of minimal or no environmental damage during normal use or maintenance
- Shipped with minimal packaging (consistent with care of the product), preferably made of recycled and/or recyclable materials
- Purchase copy paper with at least 30 percent recycled content
When applicable, Wellesley College will include a clause in its RFP specifications that reads: "Wellesley College committed to buying products with recycled content or environmentally sustainable alternatives. Please offer any alternatives that you feel are available for this product and supply all relevant specific information about the product."

Insurance Requirements for Vendors
Minimum insurance standards shall apply to all vendors who will be on the campus of Wellesley College while providing, selling or distributing products and services and, in particular, those whose work is of a physical nature. Exceptions to these requirements may be made under limited or unique circumstances.
